Clear Record Transcriptions ("we," "us") provides legal transcription services. This policy explains what we collect and how we handle it.

What we collect

Contact and business information you submit (name, firm, email, phone), matter information needed to quote and perform the work (matter type, case number, audio duration, notes), the recordings and documents you provide or authorize us to retrieve, and billing records. Payments are handled by our payment processor; we do not store full card or bank numbers. Our website collects standard analytics (pages visited, referral source, device type). We do not use advertising trackers, and we do not sell personal information.

How we use it

To respond to quote requests, perform and deliver engagements, retrieve court recordings where you authorize it, invoice, and keep records required by law. We do not use client recordings or transcripts to train machine-learning systems, and we do not permit any provider we use to do so.

How recordings are handled

Recordings and transcripts are processed on dedicated private infrastructure under our control and are never uploaded to consumer transcription services. Files are encrypted in transit, access is limited to personnel working on your engagement, and we keep integrity logs (file hashes and processing records) so every transcript is traceable to its source.

Sharing

We share information only with: service providers that support our operations (payment, email, secure file transfer, hosting), bound by confidentiality and limited to what they need; certified professionals when you request certified deliverables; and as required by law. If we receive legal process seeking your materials, we will notify you first where the law permits, so you may seek protection for privileged content.

Retention and deletion

Quote requests that do not become engagements are deleted within 90 days. Engagement recordings and working files are deleted 30 days after delivery unless you direct otherwise in writing. Final transcripts and invoices are kept as business records. You may request earlier deletion at any time and we will confirm it in writing; integrity logs may be retained to preserve traceability of completed work.

SMS/text messaging consent

The lead form includes an optional checkbox, "Text me for faster follow-up." Checking it is your express consent to receive SMS/text messages from Clear Record Transcriptions at the phone number you provide. Those texts relate only to your quote request and your matter — we send no marketing or promotional texts, use no automated dialing systems, and never sell, rent, or share your phone number or message content with third parties for their own marketing. Message and data rates may apply and message frequency varies. Reply STOP to any message to stop texts, or HELP for help; you may also email us to opt out. Consent to texts is not a condition of receiving a quote or of any purchase — leave the box unchecked and we will follow up by email instead. We store your text preference alongside your quote request so we know how you asked to be contacted.

Your choices

Email us at clearrecord@cloudnbits.com or text 425-919-9812 to access, correct, or delete your information, to withdraw SMS/text consent, or to opt out of non-essential communications.

Security

We use safeguards appropriate to legal material, including encryption in transit and restricted access. If a breach affects your information, we will notify you promptly, consistent with applicable law.

Confidentiality and privilege

We treat all engagement materials as confidential. Nothing in our handling of materials is intended to waive any privilege you hold. A confidentiality agreement is available for any engagement on request.

Children

Our services are for legal professionals and businesses; we do not knowingly collect information from anyone under 18. We will post updates to this policy on this page with a new effective date.
